Policies & Procedures
Advising
- Every student is assigned a faculty advisor. If you do not know who your advisor is, contact the Student Services Office.
- To request a new advisor, fill out the Petition to Change Academic Advisor.
Registration
- Before registering for courses, meet with your faculty advisor to discuss program requirements.
- Undergraduate students register for their first term during Orientation. You must receive an advising code from your advisor to be able to register.
- Graduate students entering their first term at Boston University are ineligible to use WebReg to register for courses and must use a paper Registration Form, available from the Data & Enrollment Management Office.
- Continuing students register via WebReg on the StudentLink.
- Graduate students applying for full-time status while enrolled part-time should fill out the Petition for Full-Time with Part-Time Enrollment Form

Add or Drop a Course
- Students may add or drop a course through WebReg on the StudentLink, or submit an Add/Drop Form.
- Undergraduates should consult with their advisor before adding or dropping a course.
- Students cannot add a course after the first two weeks of classes.
- Students can drop a course during the first five weeks of the term and are eligible for partial tuition refund. For more information, refer to the University Registrar.
Withdrawal from a Course
- A course dropped after the Registrar’s designated drop deadline (typically after the first five weeks of classes) will result in a W on the student’s transcript, and the student will be charged for the course.

Incomplete Grade
- Undergraduates who wish to be assigned an incomplete grade for a course should fill out the Incomplete Grade Form. For information on incomplete grades, refer to the BU Bulletin.
Transferring Credits
For information about school policy and transfer-credit process, consult the BU Bulletin and BU Admissions.
- Undergraduate transfer students should contact Undergraduate Student Services.
- Graduate students should consult with their academic advisor or Graduate Student Services.
- Matriculated students should receive pre-approval to transfer external credits before taking a course at another institution.

Course Requirement Adjustments
Students may submit the Course Requirements Adjustment Form to DEMO to request the following types of adjustments:
- Course substitution: Fulfill a course requirement with an alternative course.
- Course waiver: Have a course requirement waived as a result of receiving comparable content through another course. Note: credit requirements for the student’s degree program may still need to be fulfilled with another course.
- Course adjustment on Degree Advice: Move course(s) to a different category within Degree Advice.
Leave of Absence & Reinstatement
Students considering a leave of absence or reinstatement should review the BU Wheelock policy and University policy. For information on financial implications, see Tuition Refund (below).
- Undergraduate students who wish to take a leave of absence or withdraw from the University should contact the University Service Center and Undergraduate Student Services.
- Graduate students planning a leave of absence or withdrawal need to submit a Withdrawal from University Form or Leave of Absence Form to DEMO. Ordinarily, graduate students are allowed two semesters of leave. Leaves do not extend a student’s time to degree.
- International students must meet with an ISSO advisor before interrupting their studies.
- Students seeking reinstatement should complete the Petition for Reinstatement.
Adding or Changing a Program
- Undergraduates wishing to change programs should submit the Program Change Form.
- Graduate students should complete the Graduate Program Change Request Form.
- Students in bachelor’s and master’s (EdM) programs who wish to pursue non-licensure should complete the Petition to Pursue Non-Licensure Track.
- Students interested in pursuing licensure to teach a subject area should complete the Petition to Pursue Licensure Only Track.
Adding a Minor (Undergraduate Students Only)
To add a minor, BU Wheelock undergraduate students must complete the Application for a Wheelock Minor or Application for a Non-Wheelock Minor.
Students in other schools and colleges at BU should refer to their home school for information on adding a minor or contact BU Wheelock Undergraduate Student Services.
Directed Study, Independent Study, or Research Apprenticeship
Students who wish to complete a directed study, independent study, or research apprenticeship should complete the Application for Directed Study/Independent Study/Research Apprenticeship.
Doctoral Students & CAGS
Students progressing through CAGS or doctoral degree programs may require one of these forms:
- Comprehensive Examination Application
- Doctoral Hearing Announcement for Proposals and Final Oral Exams
- Problem Hearing/Final Oral Examination Moderator’s Report
- CAGS and Doctoral Degree Requirement Completion Form
- Exit Survey for Doctoral Candidates
For doctoral students in Counseling Psychology & Applied Human Development
Tuition Refund
- For courses dropped in the first five weeks of classes, a partial tuition refund is available. Consult the University Registrar for the published tuition refund schedule.
- Tuition refund for undergraduates is processed through the University Service Center.
- Graduate students who withdraw or take a leave of absence from the university may receive a partial refund of tuition fees. Students must complete the Tuition Refund Request and submit it to Graduate Student Services.
Graduation
- For graduation requirements, refer to the BU Bulletin. All students must apply for graduation according to the following deadlines:
- May graduation: March 1
- September graduation: June 1
- January graduation: November 1
- For information on BU Wheelock commencement and convocation activities, consult the BU Wheelock website.
- Undergraduate students must submit the Graduation Application and Senior Year Plan by April 1 of their junior year.
- Undergraduate dual-degree students must apply to both schools to graduate. Please check with the other school regarding their graduation deadlines, as they may differ from BU Wheelock.
- Graduate students must submit the Graduation Application at least three months before their anticipated graduation date.
- Students may petition to change their graduation date by filling out the Petition to Change Graduation Date (Undergraduate; Graduate)
Disability & Access Services
Students should work with Disability & Access Services to arrange for accommodations.
